Title: Project Administrator
Location: Failsworth , Manchester
Salary: £25,000 per Annum
Hours: between 08:00 - 17:30
Duration: Initially 6 Month Fixed Term Contract
Overview
The role of Project & Office Administrator is a key position within the organisation by contributing to the efficient operation of the Project Office. The Project Administrator will play a significant part in ensuring that all project records and documentation are generated, updated and maintained in accordance with all company policies and procedures.
The preparation and circulation of weekly project reports reflecting the current commercial and operational status of each project will become an essential part of the role
Technical Skills
- Experience working in a busy project office.
- Familiar with MS Office applications including MS Word, Excel & Project.
- Experience of providing remote support to field engineering teams would be advantageous.
- Experience of working within the communications sector would be desirable.
Duties:
- Management of post
- Ensure all staff have required PPE and ensure sufficient stock in office.
- Provide admin support to Ops Manager
- Manage deliveries to and from office.
- Project Initiation;
- Assist Project Managers with the task of updating overall resource plans in line with changes to project schedules.
- Project Implementation;
- Assist Project Managers with the preparation and maintenance of all relevant Health & Safety documentation.
- Assist with planning of all project activities through all project phases.
- Work closely with purchasing and logistics to ensure all project material is available in a timely manner.
- Work with the Finance Department to ensure that all project budgets reflect the current status of each project and alert Project Managers to any potential risks to the budget.
- Work with Project Managers and F&A Department to ensure that all project billing happens in a timely manner.
- Foster positive relationship with stakeholders
- Work flexibly to ensure daily, weekly and monthly project targets are met and where a risk to project objectives arise that this is communicated appropriately and in an urgent manner.
- Ensure project meetings, actions, risks, issues and progress reports are updated and available within a timely manner.
Project Closure;
- Work with the project teams to ensure that all project deliverables have been delivered and approved by clients.
- Maintain all project snag lists and work with project teams to ensure full and satisfactory closure of these lists.
H&S
- Ensure all project H&S documentation is up to date and filed appropriately.
- Work with Project Managers and Line Managers to ensure that all project team members have suitable and up to date H&S certification.
- Assist with the resolution of any non-conformances or incidents in line with company policies.
