Overall Purpose of the Job
The Commercial Assistant will play a crucial role in ensuring accurate measurement and valuation data, helping our client secure timely payments for their work. This position is key to linking site operations with financial success, offering a dynamic and challenging work environment.

Key Responsibilities

Precision Mastery:
Review and refine measure sheets and supporting documents to ensure they meet customer and contract requirements, preparing them for flawless invoicing.

Site Investigator:
Collaborate with Site Managers for clarification on measure sheets, and conduct site visits when necessary to verify and validate data.

Quality Assurance:
Perform random audits on 3% of jobs per invoice/application using Ontrack, ensuring all charges are supported by pictorial evidence.

Invoice Champion:
Prepare and submit invoices based on measure sheets or other sources, ensuring accuracy and completeness in every detail.

Financial Tracker:
Maintain Subcontract Liability documents for each contract, keeping meticulous records of invoices to support insightful management reports.

Document Guru:
File copies of all invoices, measure sheets, and supporting documents systematically for easy reference and retrieval.

Contract Collaborator:
Attend monthly client contract review meetings to ensure all commercial aspects are comprehensively understood and managed.

Cost Analyst:
Work closely with the contract team to produce monthly cost and profit statements, providing support to the contract manager during internal reviews.

Cost Controller:
Prepare detailed monthly and weekly costings for each contract, enabling tight monitoring of expenses and values.

Data Enterer:
Enter all application or invoice data into SAGE, contributing to comprehensive monthly management account reports.

Client Communicator:
Engage proactively with clients to resolve payment issues, escalating problematic cases to the line manager when necessary.

Safety, Health, Environmental

  • Consistently adhere to safe systems of work and
  • Comply with Personal Protective Equipment (PPE) requirements.
  • Uphold the client’s environmental values in every action, contributing to sustainable operations.

Quality & Productivity
Perform duties in a manner that maximises efficiency and productivity, always seeking to improve processes. Communicate effectively and courteously with colleagues, the public, and clients, fostering positive relationships. Maintain professionalism in all interactions to uphold the client’s stellar reputation.

Person Specification
Experience:
Industry experience in the Reinstatement Industry is essential.

Knowledge:
Understanding of Reinstatement Terminology is desirable.

Skills and Abilities:
Ability to juggle multiple tasks with ease, thrive under pressure, manage own work independently, prioritise tasks effectively, and analyse data accurately.

Qualifications:

  • GCSE English & Maths or equivalent is essential.
  • Proficiency in Microsoft Office, especially Excel & Outlook, is required.
  • Quantity Surveying course is desirable.

Personal Attributes:
A team player with a can-do attitude, attention to detail, and a supportive nature is essential.
