My client, an established M&E Contractor is currently recruiting for a Site Administrator, due to their continued growth and success. They are looking for a reliable, enthusiastic and hardworking individual to join their friendly and busy Site Admin team.

This is a site-based role, and as the successful applicant, you will be working in the office on a live construction site. Sites are spread over the London area, and depending on the size of the contract, you may be based on one site, or travelling to other sites as and when the need arises. Some sites will be busier than others and there may be times when you will be working on your own.

As a company representative on prestigious projects, you will have daily contact with clients and it would therefore be expected that you will be presentable and suitably attired all times. Appropriate personal protective equipment (PPE) e.g. site safety boots, will be provided.

As the successful candidate, your basic responsibilities, tasks and duties will include:

  • General project administration, including scanning and printing of documents and preparation of required site-specific documents.
  • Check weekly foremen's returned documentation before issue to HO
  • Control of all drawings issued from external sources to Head Office for the project.
  • Monitor incoming documentation from the client team via designated portal
  • Monitor and update project completion files on server for issue to Client
  • Collate project information to assist in production of O&M manuals if produced externally
  • Preparation of O&M Manuals, if produced in house.
  • Monitor drawings on BIM360 (training to be provided)
  • Meeting preparation, including diary management, booking of meeting rooms and preparation of refreshments
  • Liaise with the Project Manager/Engineer on the preparation of the H&S file and ensure information is up to date throughout project.
  • Issue of latest project information to subcontractors as requested by the Engineers, including programmes and technical information
  • Issue of RFI and technical submissions to the professional team and update relevant registers.
  • Place orders for site supplies and deal with invoice queries
  • Monitor plant and tool hire via a tracker and uplift orders where necessary.
  • Monitor PPE stock levels and request further supplies via Head Office
  • Complete Site Admin Checklists on a regular basis.

The above are specific to your role but not exhaustive. You will be expected to assist the project team as required.

  • IT literate and able to use Microsoft packages to a good standard
  • Excellent telephone manner
  • Flexible and willing to travel
  • Able to communicate clearly and effectively at all levels, both written and verbally
  • Able to work on own initiative and as part of a team
  • Able to work effectively and accurately
  • Able to work to deadlines and prioritise work load
  • Professional, enthusiastic and approachable.

Whist previous experience is desirable, it is not essential as full training will be given.
