Shipping, Spares & Customer Service Coordinator (Spares Parts, Machinery & Service Engineers).

The Role:

Reporting to the Operations Manager. Liaise with the Customer Service Coordinator and Shipping Department

The Shipping Coordinator will be responsible for ensuring the Company provide excellent customer service to all clients and to promote this philosophy throughout the organisation.

Tasks Shipping:

  • Organise packing, transport and documentation for exports, imports, and third-party shipments, by Sea, Road, Air and Courier within the UK, EU and Global destinations.
  • Liaising with shipping agents and freight forwarders to obtain competitive shipping costs and transits.
  • Liaising with Sales, Production and Packaging departments to agree shipping dates.
  • Liaising with customers regarding documentation and shipping.
  • Preparation and obtaining certification of Certificates of Origin / ATR / EUR1/ATA Carnet documents. (preferred)
  • Arrange export and import customs clearance, compliance with Customs and Excise regulations including deferring the duty for imports. (Preferred)
  • Type Proforma/Quotations in word or Excel.

Tasks Service Engineers

  • Collate weekly time sheets and service engineer reports.
  • Input hours on to Javelin System
  • Input expenses on to Javelin System
  • Work out engineer’s time, expenses etc and invoice the customer.
  • Read Service engineer reports and rewrite, if necessary, send to the customer with the invoice

Required:

  • An ability to work well under pressure and to tight deadlines.
  • To be organised and willing to tackle any task.
  • Help the Shipping, Spares department and customer service coordinator with daily tasks e.g. filing, general office duties, chasing orders on the shop floor for the customer service coordinator. Moving parcel to Goods out once completed.
  • Proficient with Microsoft Word, Excel and PowerPoint.
  • Ideally experience in dealing with Import and Export and all legislative requirements. (preferred)
  • Ideally a background in Administration within an International courier.
  • Ideally experience in liaising / dealing with Freight forwarders and Shipping agents.
