Roles and Responsibilities : How the Expected Outcomes are Achieved

  • Main POC for the office, answering the phones, welcoming visitors and taking deliveries.
  • Raising purchase orders, over head and project specific.
  • Raising all new businessopportunities
  • All administrative tasks within the internal software platform, as required.
  • Maintaining spreadsheets
  • Managing the shared Networks Inboxes, ensuring response times are within SLA’s
  • Supporting the Fleet and Asset Coordinator with administrative requirements.
  • Facilities administration
  • Monitor all welfare facilities and ensure all end of day tasks are completed.
  • Raising of all jobs, as per sales cycle structures, for all revenue streams
  • Organising timesheets and weekly hours, checking job and task numbers
  • General administrative duties
  • Collate, review and edit all hand back documentation, meeting submission deadlines, in line with the hand back process eg maintenance reports, project O and M manuals, etc
  • Completing PQQs and requests for information from clients.
  • General housekeeping of all E-file structures and document control for audit and accreditation purposes
  • Liaising with all departments to ensure smooth transitions from conception to completion of all works.

Requirements for the Role

  • Experience in using Microsoft Office, in particular Word and Excel.
  • Able to work well under pressure and respond to changing demands.
  • Experience in working within a busy office environment.
  • Experience with dealing with both internal and external customers.
  • Experience in working to deadlines and prioritizing own workload.
  • Good verbal and written communication skills.
  • Friendly personality
  • Flexible to undertake a range of different tasks within the working day.
  • Problem solver with a positive approach.
  • Recognises commercially sensitive or confidential information and deals with it appropriately
  • Experience of working within  Construction or Engineering environment is desirable
